October 2024: Release Notes

Fatigue360

Enhancements

  • Syrinx Integration: A new integration has been added to import Operatives, Sites, Hire Contracts, and Shifts directly from Syrinx into Fatigue360. This feature flags shifts with potential compliance issues, enabling planners to address these in Fatigue360 with feedback that can loop back into Syrinx for a seamless update.
  • TfL Importer Update: The bespoke TfL importer has been refined to streamline file consolidation and follow-up actions, significantly accelerating the upload process and reducing administrative overhead.
  • Enhanced TfL Compliance Checks: The 30-hour rest check following a late shift now only applies when the subsequent shift is not a late or night shift (previously only if a late shift), improving compliance adherence.
  • Inactive Staff Handling: When setting a staff member to "Inactive," the system now logs this timestamp to ensure that shifts starting the following day reflect the "Inactive Staff Issue." Shifts prior to the deactivation date remain unaffected.
  • Role Rate Cards Standardisation: The Hour Prefix has been removed from Role Rate Cards to standardize terminology with other references in the system.
  • Event Form Update: Event forms now allow the Custom Event Status to be cleared only on existing events, preventing unintended edits on new events.

  • Addressed a bug where risk assessments would persist after unassigning a staff member from a shift.
  • Resolved an issue with duplicate bank holiday entries for individuals.
  • Corrected the clause breach display so that it only appears on the shift causing the breach, not on the current shift if unrelated.
  • Fixed a stuck job where toggling supplier fatigue/risk index updates was not progressing for shifts.

DMS360

Enhancements

  • Event User Access: Users can now be assigned to an Event before they complete their account setup, allowing more flexible event planning and coordination.

Bug Fixes

  • Fixed a bug where users with Single Sign-On enabled would still receive password expiry notifications, ensuring that SSO users are not affected by standard password policies.

August 2024: Release Notes

Fatigue360

This month, we're introducing a much requested feature; Automatic Bank Holiday Leave Booking!

To get this setup, you will need to set the Bank Holidays that a Staff Member will have (options from 'England & Wales', 'Scotland' & 'Northern Ireland'), either via the Staff form or by using the Staff Importer (remember for existing staff to have one of their cards as an identifier).

Then in the background, all future Bank Holidays will be automatically booked as Leave. If you have rostered the Staff Member to work on a Bank Holiday, then this is will not remove them but flag this as an issue for you to deal with.

Removing the Bank Holiday option from the Staff Record will cancel any Bank Holiday Leave records that have been added - and if you choose to delete any then the system won't add these back.

We pull in the Bank Holidays from the UK Gov website which is currently populated through to the end of 2026 and periodically the system will check for any new bank holidays that are added so you'll never need to do this again.

This feature has been upvoted by a variety of users in our Feature Requests - so if there is feature you are keen to see added to Fatigue360 then make sure you submit it and give an upvote for existing requests added by others. We discuss them internally when deciding on what features to add, and will try to engage with Users to discuss the finer details of their requests.

Other Enhancements:

  • Supplier Events: When a Client makes changes to their own Event (Name, Postcode, Access Point, What3Words, Ref and Purchase Order) these will be synced to the Supplier Events (if their values are the same), ensuring that everyone remains on the same page.
  • Staff Searching: Is now saved so that after searching, navigating away (i.e. viewing a staff's data or timeline) and then back again. The page will default to whatever you had searched.
  • MacRail Finance Report: Updated so that unfilled shifts, that are also marked as not to be charged, do not include the charge rate.
  • Manager Licence (Role Read-Only): Manager Licence variation, where the User won't have access to add/edit/delete Roles.
  • CSCS Cards: Cards Updated to make clear which ones are part of the CSCS Alliance.

Bug Fixes:

  • Travel Shifts: Fixed a Bug where booking Accommodation via the Module would not immediately cause the options to 'Add Travel Shift' to the first and last shifts for that period of Accommodation.
  • Dashboard Loading: Where a User has changed which widgets are displayed, some additional queries would be run for widgets they hadn't included.

DMS360

Bug Fixes:

  • FORS Withdrawn: Added validation to inform the User that the response from FORS was withdrawn, rather than Gold, Silver or Bronze.
  • Slot Duration: Fixed bug where it was possible to set the slot duration to be longer than the maximum delivery duration.

Worksite360

Enhancements:

  • Sentinel Check: After a Sentinel Check, the Person's Primary Sponsor will be updated if different, and there is a corresponding mapping between the Company record in the system and display name in Sentinel.
  • CSCS Cards: Cards Updated to make clear which ones are part of the CSCS Alliance.

MacRail System

Enhancements:

  • 2FA Update: MacRail Worksite App (1.8.4) released for Two-Factor Authentication (2FA).
  • Weekly Repeating Events:  Updated to include options to set the Event Type and Reference.
  • Account Sign Up: Sign Up Moved to exist within the 'account site' matching the look and feel of the login/password reset forms.
  • Sync of FR Data: Daily sync changed to it only attempts to do do for Devices that have been online in the previous 48 hours.
  • Change of Name for Record with Biometric: System side cache is now cleared so that the record will be re-synced with all FR cameras.

Bug Fixes:

  • SAC Home Page: Fixed a bug where the page would error where a shift was on an Event that couldn't be accessed by the User.
  • Workforce Portal: Fixed a Bug where the Weeks on the Events page would be incorrect every 6th day of the month.

June 2024: Release Notes

Fatigue360

This month, we're introducing Fatigue Risk Assessments into Fatigue360! For now these will only work with Actual Shifts, and can be generated via the Shift sidebar when viewing an Actual Shift.  We have based the format and initial question set on Network Rail's Fatigue Assessment form.

Completed assessments will be shown in the sidebar, and there is a new widget that has been added to the Dashboard to show the number completed, and the scoring level.

Conducting Assessment on Mobile
Additionally; you can now designate a role to 'Receive Exceedance Alerts' which will mean that people signed in with this role will receive email notifications when another person on site exceeds the on-site or door-to-door rules.  This should be useful if you have roles that perform supervisory duties of the other staff on site, they can now receive alerts about the other people on-site with them.

When enabled in the Organisation Settings (under notifications) this email can also include a link for them to complete an assessment (same as above), allowing an evaluation of the an individuals fatigue in real time.

We recognise that how these assessments can be captured, be that in terms of workflow or questions asked will vary. What we've tried to do here is create a generic solution that hopefully gets the ball rolling and starts conversations on good practice.

Other Enhancements:

  • Event Importer updated to import Events in chunks based on the Reference, which should improve performance and upload times.
  • Free tier supplier shifts will have their travel time calculated on the client side (using the address/accommodation data held by the client).
  • Option added to the Dashboard to view the 'Unresolved Issues' in the form of table instead of a pie chart.
    • We understand that as Fatigue360 has evolved and more issues have been tracked an alternative way of viewing this was required.

    • Updated settings screen to allow removal of the On-Call Role, Training Role, Office Role.
  • Updated TECS Timesheet template with up-to-date information (address and logo).
  • Updated TRU EAST timesheet export to use planned hours for actual hours where non exist.

Integrations:

  • Update COINS integration to deal with short absences using the start time and duration provided.

Bug Fixes:

  • Fixed bug where using the bulk unassign tool via the Staff Timeline where overlapping shifts warning would not be removed.
  • Fixed bug when adding Leave, and having selected the option to remove from shifts, the empty shift issue was not be created.
  • Fixed bug where setting values for rail weeks could be saved incorrectly.

Worksite360

Enhancements:

  • Improved Register query performance when viewing the register.
  • Improved Event Jump List query performance decreasing load time.
  • Improved Event searching via the Menu when using the Reference.

Organisation Dashboard

Enhancements:

  • Updated User list to show users with email addresses that are suppressed by the mail service.
    • Suppressed email addresses are logged after a number of failed attempts to send email to it.
  • Re-send Organisation invite now available on the User screen is the User hasn't set any of their details (e.g. name, password).

Two-Factor Authentication has arrived!

Today, 2FA (two factor authentication) has been introduced to the Workforce360 platform, adding an additional layer of security to protect your information and that of others.

The process is simple, and easy to follow. The steps below describe the process and what you need to do:

  1. Log into your account as normal (via https://account.workforce360.co.uk/ or  https://account.macrail.co.uk/)
  2. If you are presented with a screen asking you to enter the two-factor authentication code check the email linked to your account for a 6 digit number.
  3. Enter this number in the below field:
  4. Click Confirm

If you login via different devices/browsers, then you will be required to repeat this process. If you are using the same device and browser, then the 2FA will be last for a period (longer than a day) before you'll be asked to repeat this.

If you are logging via the web to access any of the applications listed below, you will be affected:

  • DMS360
  • Enviro360
  • Fatigue360
  • MacRail System
  • Obstruction360
  • Worksite360

A Commitment to Security
This update underscores our commitment to providing a secure platform. If you run into any issues as a result of this update, please contact the helpdesk: helpdesk@westonanalytics.com and we'll help as quickly as possible.

As previously communicated, this is the 2nd phase of our security update further updates will be coming for the various mobile apps over the coming weeks, so look out for further updates.

Enhanced Security Measures for Workforce360 Platform

At Weston Analytics we are committed to ensuring the highest standards of security for all users on its platform.

As part of this ongoing commitment, we are announcing a series of enhancements to our account security measures, set to begin in April and running through to end of June. These updates are designed to provide a secure and reliable experience.

New Security Measures (starting April 16 2024)

  • Mandatory Password Updates: All users (except those using Single Sign-On (SSO)) will be required to update their passwords every 90 days. This will ensure that all accounts meet our stringent security standards. Upon login, users will receive a notification that they are required to do this, and an email will be sent to the email address listed with instructions.
  • Account Deactivation for Inactive Users: In an effort to streamline user access and maintain a secure platform, the system will automatically deactivate accounts that have not been accessed for more than 90 days. Affected users will receive an email notification informing them of the deactivation and outline the steps to reactivate their account.

These enhancements are part of our proactive approach to security and are informed by an extensive analysis of user account activity. To avoid being caught by this on the 16th April, you can update your password at any point between now and then using the 'Forgot Password' tool on the login screen.  The next time you'll be asked is  90 days after you update it.

Introducing Two-Factor Authentication (2FA) (starting April 30 2024)

We will be implementing Two-Factor Authentication (2FA), requiring users to verify their identity by entering a code sent to their email address. This will be rolled out in two phases:

  1. Web/Cloud Applications: Starting April 30 2024, 2FA will be introduced for web/cloud-based applications (including the MacRail System, Worksite360, and Fatigue360).
  2. Mobile Applications: 2FA will be extended to our mobile apps towards the end of Q1 (April-June 2024). Detailed information about the app specific rollout will be provided closer to time.

All users will need to comply with the 2FA requirement unless they are utilising Single Sign-On (SSO) in which case your own Organisation's rules will apply.

A Commitment to Security:

These updates underscore our dedication to providing a secure, reliable platform for our diverse user base. We understand these changes may require an adjustment period and are committed to supporting our users through this transition. The staggered nature of this implementation will allow us to respond to feedback and make adjustments along the way.

February 2024: Release Notes

Fatigue360

Competency Expiry Notifications

Starting from today, when a Staff member's competencies are due to expire, a daily notification will be sent out to inform licensed Users of this occurrence. By default, this notification will be issued 30 days in advance, but each Organisation has the option to modify this setting (to as few as 7 days, or as many as 60 days).

Knowing when a staff member's competencies are expiring is essential for ensuring compliance, safety, quality, and efficiency of any organisation's operations.

Where Staff members have multiple competencies expiring on the same day, the notification will indicate the total number of competencies due to expire. If they have only one competency expiring, then this will be specifically mentioned.

By default all applicable users will be opted in to receive this notification (unless we've been requested to not do so). We've taken this action as part of our expansion of the competency module in Fatigue360, which started with the widget added to the Dashboard last month showing what competencies were expiring in the selected date range or week.

If you don't wish to receive the Notification - you can opt-out at at any time by accessing your Notification options (Profile Menu (your name) -> Notifications) and unticking 'Competency Expiring' notification.

Additional Changes

  • New Export option added to generate Staff Timesheet Export Using Planned Data.
  • Week dropdown added back to the Dashboard to allow quick change of week using the same filter.
  • Further updates  to the Sentinel lookup to work with Sentinel's 2 Factor Authentication update.
  • On Import of Staff, if a team is listed that doesn't already exists that team will be created and the Staff member assigned to it.

Integrations

  • New option added to the M-Site Integration to retrieve the Postcode when limited to enrolled employees only.

Workforce App

  • Number of past actual shifts visible updated to show the last 7 days. Staff can only update shifts for up to 48 hours after the shift has started.

Worksite360

  • Further updates to the Sentinel import to work with Sentinel's 2 Factor Authentication update.

We've received a number of suggested features this month that are now publicly available for upvoting.  Upvoting these highlights the level of interest there is in a particular item, and we take that into account when determining what we should be doing to improve the various products.  So please consider taking a look at them or leaving your own suggestions.
